1. Who we are

TradesNotice is a scheduling and communication tool for trade and cleaning companies that work in occupied strata, condo and residential buildings. A company using TradesNotice (the “Company”) manages its own sites, tasks, staff and residents. This policy explains what data TradesNotice processes and why.

2. Controller and processor

For data about a Company’s own operations and the residents it serves, the Company is the data controller and TradesNotice acts as a processoron the Company’s behalf. For the operation of the TradesNotice service itself (accounts, billing, security), TradesNotice is the controller.

If you are a resident and have a question about how your building’s data is handled, contact the service company shown on your building’s notice page.

3. What we collect

Company owners and office members (sign in with Google or email):

  • Name, email address and profile image from your sign-in provider.
  • Company details you enter — company name, contact, logo, brand color, review link.

Field staff (supervisors and technicians):

  • Name and a numeric PIN used to sign in to the field portal.
  • Optional GPS location captured when clocking in/out or marking a unit (only if the device allows it).

Residents (no account required):

  • If you submit a report about a service, the name, unit, phone, email and description you provide, plus an optional photo or video.
  • If you subscribe to reminders, your email address (confirmed by a double opt-in email).
  • Your IP address is recorded with a submitted report to help prevent abuse.

Collected automatically:

  • Basic usage events (logins, QR-code page views, tasks created) used for aggregate product analytics. We do not use third-party advertising or cross-site tracking.
  • A session token stored in your browser’s local storage to keep you signed in.

4. How we use data

  • Show residents the live work schedule for their building via a QR code, with no app or login.
  • Let companies plan work, track progress per unit, and store photo/video proof of completion.
  • Send day-before email reminders and deficiency-report notifications through our email provider.
  • Authenticate users and enforce access — each company’s data is isolated from every other company.
  • Understand aggregate product usage to improve the service.

5. Photos, video and location

Photos and videos captured in the field may be watermarked with the site, unit, date/time and — if the device permits it — GPS coordinates, so companies can document work. This media is visible only to the Company and, where a company shares a completion report, to the building’s property manager. Field media and internal notes are never shown on the public resident page.

6. Service providers we share with

We use a small number of processors to run the service:

  • Supabase — database, authentication and file storage (hosted in the United States).
  • Vercel — application hosting.
  • Resend — transactional email (reminders and notifications).
  • Google — sign-in for company accounts, if you choose it.

We do not sell personal data, and we do not share it for advertising.

7. Data retention and deletion

We keep data for as long as a Company’s account is active. A Company owner can permanently delete their account from Settings → My Account; this removes the company and all of its data — sites, tasks, units, reports, photos and team — and cannot be undone. Archived sites can also be permanently deleted individually.

Residents can unsubscribe from reminders at any time using the link in any reminder email.

8. Security

Data is transmitted over HTTPS and stored with our hosting providers under their security controls. Access to a company’s data requires authentication, and every request is scoped to that company. No method of transmission or storage is perfectly secure, but we work to protect your information.

9. Children

TradesNotice is a business tool and is not directed to children. We do not knowingly collect personal information from children.

10. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, or to object to certain processing. Company users can manage most of this directly in the app. Residents and others can contact us at the address below and we will forward requests to the relevant Company where appropriate.

11. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date at the top of this page.
